Trade Show Giveaways: How to Choose Merchandise for Your Audience

The right trade show giveaway fits the person receiving it, serves a useful purpose and works within your total event budget. Start with who you want to meet and what they will do with the item after the show. Then compare products, decoration and delivery details.

A booth serving local business owners may need a different assortment from a conference attracting people who are flying home. A giveaway for everyone who stops by also has a different job from a gift prepared for a scheduled customer meeting.

Give each item a job

Before choosing colors or adding a logo, decide how the merchandise will be used:

  • General booth handouts: Easy for the team to distribute during conversations.

  • Meeting gifts: Reserved for scheduled meetings, existing customers or specific contacts.

  • Staff apparel: Helps attendees recognize the people working your booth.

  • Event kits: Several coordinated items distributed together at registration or another planned moment.

You do not need all four. A smaller assortment with a clear purpose can be easier to manage than a table full of unrelated products.

Compare products by how attendees will use them

Product A reason to consider it What to check before ordering Tote bags Attendees need to carry materials during the event Dimensions, handle comfort, material and packed carton size Notebooks and pens The audience takes notes in sessions or meetings Writing quality, notebook layout and usable decoration area Drinkware The item fits the audience's workday or routine Capacity, lid style, care instructions and shipping weight Apparel You are outfitting staff or arranging a planned recipient order Garment choice, size chart, size quantities and decoration placement Small accessories You want something easy to carry home Practical use, compatibility where relevant, and space for readable artwork

These are starting points for comparison, not a universal ranking. If most attendees travel with limited luggage, consider how much space an item takes up. If you are ordering apparel, settle how sizes will be collected or distributed before selecting quantities.

Look at the complete order cost

Ask for a quote that separates the product, decoration, setup, packaging and shipping charges, along with any other applicable costs. Compare the same quantity and decoration details across options.

A lower product price does not automatically mean a lower delivered cost. Carton size, weight and shipment arrangements can change the comparison. Share your total merchandise budget and ask which options fit within it.

Keep venue-related costs separate until they are confirmed. If you plan to ship directly to an event, review the organizer's receiving instructions, delivery windows and any handling charges before arranging the shipment.

Our event merchandise budget guide explains which costs to put in the same comparison.

Make the logo readable at the actual size

A logo that looks clear on a screen may be difficult to read in a small decoration area. Ask to see the proposed artwork at the intended size, with the product color and decoration location specified.

Avoid trying to fit a logo, tagline, website and long message onto every item. Decide which information matters most. If you use a QR code, confirm the destination and ask how its scanability will be checked on the decorated item.

Plan the handout and delivery details

Use your expected booth activity to estimate demand. Total event attendance alone does not tell you how many people will visit your booth or receive a giveaway.

For each item, record who receives it, the planned quantity and who manages distribution. Keep meeting gifts separate from general handouts so they are available when you need them.

Your required delivery date should allow time to receive, inspect and organize the order. Confirm production and shipping timing for the specific products after quantities and artwork requirements are known. Do not assume every product follows the same schedule.

A brief you can send with your quote request

Copy this list into your inquiry:

  • Event name, location and event date

  • Required in-hand date and delivery address

  • Audience and intended use for each item

  • Product ideas and estimated quantities

  • Total budget, including delivery where possible

  • Logo file, preferred colors and decoration locations

  • Packing, assembly or venue receiving requirements

It is fine to start with a range or a few undecided items. Mark those details as estimates so the options can be compared on the same basis.
