What to Include in a School Spirit Wear Quote Request

A useful school spirit-wear quote request describes the garment, quantity, decoration and delivery requirements. If any of those are undecided, say so and ask for a clearly labeled alternative. That is more useful than comparing prices that may describe different products.

You do not need to know every apparel term before contacting a supplier. You do need to explain the project: who the items are for, how they will be used, and when they need to arrive.

Describe the occasion first

Staff polos for open house and student shirts for a field trip have different requirements. Tell the supplier whether the purchase is school-funded, a family sale or part of a fundraiser.

Include the required arrival date, not just the event date. If volunteers need a few days to sort and distribute the order, build that into your request.

Give a garment specification or a useful preference

If you know the brand and style number, include them. If not, describe what you care about: a particular color, a youth-to-adult size range, the feel of a sample you like, or a garment intended for active use.

Ask the supplier to identify the specific style being quoted. A description such as “basic tee” makes comparisons difficult because it can cover different materials, fits and size ranges.

When you request alternatives, ask for the differences to be explained. A less expensive option may be suitable, but you should know whether the garment or decoration changed.

Supply quantities by size when you can

A total quantity is enough to begin a conversation. A size breakdown makes the request more precise.

Mark estimates as estimates. Separate youth and adult sizes, and identify any extended sizes. Ask whether size, garment color or a smaller run affects the quote.

If you are comparing two quantity levels, ask for them as separate scenarios. Do not combine a possible future reorder with the confirmed purchase unless the supplier agrees that is how the order will be priced.

Show the decoration clearly

Attach your best logo or artwork file. List each location, such as front chest, full back or sleeve, and provide the exact wording.

If you have not chosen between printing and embroidery, ask what suits the product and design. Do not compare an embroidered quote with a printed quote as though the only difference is price.

Request a proof before production and identify the person authorized to approve it.

Ask what the total includes

Have the quote specify the products, decoration, any setup or artwork charges, applicable shipping and taxes, and the payment terms. Ask how long the quote and availability are valid.

For an online store or fundraiser, separately confirm how retail pricing, fulfillment and any proceeds work. Those terms should not be inferred from a bulk unit price.
