Reordering Camp Apparel: What to Save From the First Order
Save the product details, approved artwork, final size quantities and original order reference from every camp apparel purchase. Those records make it easier to explain what you need again and to spot any differences in a replacement quote.
A reorder still needs an availability and schedule check. Reusing a design does not guarantee that the same garment, color or sizes are immediately available.
Keep the product identification
Record the brand and style number, garment color, size range and any fit variation. A photo is useful, but it should sit beside the written product specification rather than replace it.
If the order includes shirts, hoodies and hats, give each product its own record. Similar-looking items may have different decoration requirements or suppliers.
Save the final quote or order confirmation where the person handling the next purchase can find it. An attachment in a former seasonal employee's inbox is a fragile filing system.
Keep the approved decoration
Store the final approved proof with the artwork supplied for production. Identify which version is approved, especially if the design went through several rounds.
Record the decoration method, locations, wording and any color references agreed with the supplier. If a year, session name or staff designation needs to change, state the exact change in the reorder request.
Do not send an old proof with “same again” if it contains a date you no longer want printed.
Track what happened to the stock
Opening quantity minus remaining quantity does not always equal sales. Some products may have been issued to staff, used as replacements or set aside for another purpose.
Use separate columns for:
Opening stock and additional receipts.
Units sold.
Units issued or used for another reason.
Remaining stock.
Requests that could not be filled.
Track these by size and color. Running out of one size does not mean every size needs the same restock.
For a first season without sales history, record what you observe rather than relying on a generic recommended size mix.
Describe what must match
Tell the supplier whether a reorder will be worn alongside the original items. That makes consistency particularly important.
If the original product is unavailable, ask to review the proposed substitute, its size chart and the decoration approach. Do not assume that another garment in a similarly named color will be identical.
Considering a new item? Browse the apparel collection, then ask which options suit the rest of your camp’s order.
Ask about any minimums or charges for the new quantity. A smaller reorder can be a different purchasing decision from the first bulk run.

Leave a usable record for next season
After the reorder arrives, update the stock record and save the new confirmation. At the end of the season, note what remained and which requests you could not fulfill. That gives next year's buyer a reasoned starting point.
