How to Choose a Spirit Wear Vendor for Your PTA or PTO

A PTA or PTO can buy school merchandise from a supplier that coordinates custom apparel, a local decorator, or a company that runs online spirit-wear stores. The right fit depends on how your school wants to collect orders, pay for products and deliver them to families.

Before comparing vendors, write down the project: shirts for every student at an event, optional family purchases, a fundraiser, or a combination. Give each supplier the same brief so the proposals answer the same question.

Start with the ordering model

For a known group receiving the same item, one bulk order may fit. For optional family purchases, an online store may suit the project. A supplier may offer both, but ask how each works in practice.

Our school bulk-order and online-store comparison explains the difference. At this stage, settle who places orders and who collects payments. A website alone does not tell you whether the PTA still needs to sort boxes or answer sizing questions.

Compare actual garments and artwork

Ask for the proposed brand, style, fabric, color and available size range. A quote for one sweatshirt may not be comparable to a quote for a different weight or fit. Review the selected garment's size chart and ask about samples if fit or fabric will affect the decision.

Confirm the decoration method, number of locations and proposed artwork dimensions. Identify who at the school can approve use of the mascot and who will approve the final proof. Ask what artwork files you will receive and what can be reused for a later order.

Ask for a complete price explanation

Give every vendor the same quantities, size information and design requirements. Ask which charges are included and which depend on the final order, including decoration, setup, shipping and any size-related charges.

For a fundraiser, request the proposed selling prices and a written explanation of what the organization receives. Do not assume the difference between a displayed price and a garment cost is the final payout. Our school quote-request checklist helps you assemble the details.

Confirm the dates and the support process

An ordering deadline, production date and delivery date are different milestones. Tell the supplier when families need the merchandise, then ask which artwork and order deadlines support that date.

For an online sale, ask who answers parent questions, what happens when someone chooses the wrong size, how defects are handled and whether late orders can be accepted. Get the actual policy before sharing it with families. Custom merchandise should not be advertised as returnable unless the supplier has confirmed the terms.

Bring these questions to the board

Copy this checklist into your meeting notes and record each vendor's answers:

  • Proposed garments and decoration: ____

  • Bulk order, family store, or both: ____

  • Minimums and complete charges: ____

  • Artwork approval owner and deadline: ____

  • Selling window and expected delivery: ____

  • Shipping destination and any family shipping cost: ____

  • Parent support and issue-resolution process: ____

  • Fundraising calculation and payment timing, if applicable: ____

  • Work still handled by volunteers: ____

Compare the written proposals against the school's actual needs. A low unit price is useful only alongside a workable delivery and support plan.
