The PTA/PTO Spirit Wear Handoff Checklist
The next PTA or PTO spirit-wear volunteer should not have to reconstruct the program from old emails and a sweatshirt someone brings to a meeting. A useful handoff explains what was ordered, what was approved, what remains unresolved and who can help with the next run.
Create one folder controlled by the organization and a short overview that points to the right records. Keep planning documents free of family payment details and student-level information that the next organizer does not need.
Start with a one-page overview
Record the school, organizing group, outgoing project owner and incoming owner. Summarize whether the program used a bulk order, an online family store or both. Include the supplier's business contact information and the school contact responsible for artwork approval.
List the next known dates, such as a board meeting or event. Mark estimates as estimates. A prior delivery schedule is useful history, but the supplier still needs to confirm timing for the new order.
Keep the approved artwork together
Save the original school logo file, the final approved proof and any written color or placement requirements. Label files clearly so a draft cannot be mistaken for production approval.
Record any permissions or restrictions communicated by the school. Ask the supplier which artwork files the organization can retain and reuse. Do not assume a screenshot of a past store is sufficient to reproduce the design.
If the school updates its mascot or branding, identify which files should no longer be used before requesting another quote.
Record the exact products
For each item, keep the brand, style number, garment color, size range and decoration details. Record the order reference and date. A description such as “blue hoodie” leaves too much open when the supplier offers several different garments.
Keep aggregate quantities by size, separating youth and adult labels. Record what was sold, what was issued and what remains in stock. Note unmet requests separately; a sold-out size may show low sales precisely because it was unavailable.
Use our school size-collection guide when preparing the next size list.
Save the financial and store records
Keep the approved quote, final invoice or supplier report, and the fundraising terms where the appropriate organizational officers can access them. Summarize whether reconciliation is complete rather than circulating family transaction details.
For an online program, record the store URL, selling window, delivery communications and support contact. Arrange any account-access transition through the organization's normal process. Do not put passwords in the handoff document.
Make unresolved work visible
List any open issues, the person responsible and the next action. Separate confirmed problems from general feedback. For example, an outstanding replacement request needs an owner; a suggestion for another hoodie color belongs in next-season planning.
Capture what the organizer would change: clearer sizing information, an earlier artwork deadline, a smaller assortment or different distribution arrangements. These notes are more useful when they describe an actual experience rather than a general rule.
Use this final handoff check
The incoming volunteer can access the organizational folder.
Final artwork and draft artwork are clearly distinguished.
Product styles, colors and aggregate size totals are recorded.
Financial records are with the appropriate officer.
Open issues have named owners and next steps.
The next project dates and approval process are written down.
Supplier timing and availability will be reconfirmed before a new order.
When you are ready for another run, use the school quote-request checklist. Send Creative Alternatives the prior order details and your next project date, and we can help you work through the options.
